Position Overview 

The Inbound/Outbound Operations Coordinator oversees vehicle preparation (Quality Assurance), inbound and outbound lot flow, vehicle shuttling, and on-time order readiness. This role includes coordination of third-party vendors and on-site Operations Specialists to ensure efficient lot operations and timely vehicle availability. 

  

This is a non-exempt position and is eligible for overtime compensation under California law, including: 

  • Overtime for hours worked over 8 in a workday 

  • Double time for hours worked over 12 in a workday 

  • Overtime premiums for qualifying seventh consecutive workdays

Strategic Coordination 

  • Coordinate order readiness to ensure vehicles meet quality standards and delivery timelines 

  • Oversee inbound and outbound vehicle flow across primary and satellite lots 

  • Inspect vehicle quality and ensure readiness for customer use 

  • Ensure vehicles are processed efficiently through designated lot-flow procedures 

  

Performance Ownership 

  • Monitor vehicle quality and operational readiness metrics 

  • Support budget oversight for shuttling and cleaning operations 

  • Ensure timely processing of inbound vehicles and infleets 

  

Team & Vendor Coordination 

  • Coordinate daily activities of Operations Specialists 

  • Oversee third-party vendor performance to ensure SLA compliance 

  • Provide feedback and coaching to promote continuous improvement 

  

Vendor Relations 

  • Maintain effective working relationships with vendors 

  • Support cost efficiency and turnaround time improvements 

  

Data-Driven Operations 

  • Analyze site performance metrics 

  • Identify operational gaps and implement process improvements 

  • Use data to inform workflow and resource decisions 

  

Compliance & Safety 

  • Maintain compliance with Cal/OSHA safety requirements 

  • Safeguard company vehicles, property, and customer information 

  • Accurately complete timekeeping and documentation 

  

Required Qualifications 

  • 3–5 years of operations experience (vehicle operations preferred) 

  • Experience using Microsoft Office Suite 

  • Strong communication skills across multiple levels of leadership 

  • Ability to work in a fast-paced, evolving environment 

  • Flexibility to work days, evenings, weekends, and holidays as business needs require 

  • Ability to lift and carry tools or equipment up to 50 pounds 

  • Willingness to work outdoors in varying weather conditions 

  • Valid driver’s license with acceptable driving record 

  • Willingness to travel within the assigned market as needed 

  

Physical Requirements 

  • Frequent standing, walking, and movement across lot areas 

  • Exposure to outdoor weather conditions 

  • Lifting up to 50 pounds 

  

Compensation Transparency (California – SB 1162) 

The hourly pay range for this position in California is $30.00 – $32.00 per hour. 

This range represents the reasonably expected pay range for this role within California. Actual compensation will be determined based on: 

  • Experience 

  • Skills and competencies 

  • Geographic location 

  • Internal equity considerations 

This position is paid on an hourly basis and is eligible for overtime in accordance with California wage and hour laws.
